First Responder Sports Hub ("we", "us", "the Sports Hub") is a private, members-only sports and activity network for verified first responders and their approved family members, starting in Western Australia. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What we collect
- Account details: your name, email address and password (the password is stored securely by our sign-in provider; we never see it).
- Verification details: your agency, role, service number, a short statement and any document you upload to show you are a serving or former first responder.
- Profile details: agency type, region, suburb and postcode, sports interests, skill levels, preferred times, notification and privacy preferences, and family members you add (first name, relationship and birth year).
- Activities and groups: activities you host, join or leave, attendance, groups you create, join or organise, and noticeboard posts.
- Saved and recently viewed venues: venues you save, the last venues you viewed, and how many times you have viewed a venue. We use the view count only to decide when to show you a review prompt.
- Reviews: your star ratings, written review, tags, what you were there as ("I was there as"), and whether you chose to post as "Verified member".
- Venue enquiries: your name and email (copied from your profile), and the sport, date, time of day, group size and message you enter.
- "Let us know you're interested" requests: the sport, area or venue you are interested in.
- "Report incorrect info" listing reports: what you said was wrong with a venue listing and your short note.
- Review prompt responses: whether you chose "Rate it", "Not now", "Haven't been yet" or "Don't ask about this venue", so prompts don't repeat unexpectedly.
- Usage information: only if you accept Performance cookies (see below).
We do not ask for health information. Please don't include health or medical details about yourself or anyone else in reviews, enquiries or messages.
How we use your information
- To confirm you are eligible and keep the platform private to first responders and their families.
- To show you venues, activities and groups near you and for the sports you like.
- To let hosts and group organisers run activities and groups.
- To pass your enquiry to the right venue team.
- To show in-app notifications and review prompts (for example "How was [venue]?" after an activity you attended, or a few days after you sent an enquiry or clicked a venue's booking link).
- To keep venue listings accurate and to moderate content.
- To produce aggregated reports about demand for sports and venues.
Usage tracking
If, and only if, you accept Performance cookies, we record how the site is used: searches, filters, venue views, booking-link clicks and saves. These records do not include your name, email, phone number or any message you write. We use them only in aggregated reports. Admin accounts are left out of these reports. Claimed venues can see aggregated figures for their own venue only, and any figure below 3 is hidden so individuals can't be identified. If you don't accept Performance cookies, none of this is recorded.
Who can see what
- Other members see only your first name in activity and group lists, and your agency type in group lists. They never see your surname, email, service number, verification documents or verification status details.
- Reviews are visible only to signed-in members. They show your first name and agency type, unless you tick "Post as Verified member", in which case they show "Verified member" instead.
- Claimed venues can post a public reply to reviews about their venue.
- Enquiries go to the claimed venue's team. If the venue hasn't joined the Sports Hub yet, the enquiry goes to the Sports Hub team instead.
- Listing reports are seen by our admins and, if the venue is claimed, by that venue's team without your name.
- Admins can see the information needed to run and moderate the platform. They can hide and restore reviews. An admin activity log records admin actions (such as approvals, edits, hiding content and role changes), and log entries cannot be edited or deleted.
- We do not sell your personal information. We share it only with service providers that help us run the platform (such as hosting and data storage), or where required by law.
Verification documents
Verification documents are kept in private storage that only you and authorised admins can access. We use them only to confirm eligibility. You can ask us to delete your document once your status has been confirmed.
Booking and payments
The Sports Hub does not take bookings or payments. "Book on venue's website" opens the venue's own website, and that venue's terms and privacy policy apply.
Storage, security and retention
Your information is stored with reputable cloud providers and protected by access controls, so each person can only see what they are allowed to see. Some providers may store data outside Australia; we take reasonable steps to make sure it is protected to a standard consistent with the APPs. We keep personal information only while it is needed to run the platform or meet legal obligations. Hidden or archived content is kept so it can be restored, unless you ask us to delete your information.
Access, correction and deletion
- You can view and update most of your profile at any time.
- You can ask for a copy of the personal information we hold about you, or ask us to correct it.
- You can ask us to delete your account and personal information. Some records (such as the admin activity log) may be kept where needed for security or legal reasons.
- Email firstrespondersocceracademy@gmail.com. We aim to respond within 30 days.
Complaints and contact
For privacy questions, requests or complaints, email firstrespondersocceracademy@gmail.com. Tell us what happened and we will look into it and reply in writing. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy. If we make significant changes we will let you know in the app.
